Prime Future, Terrasoft partner in Ireland are proud to announce the successful launch of a major CRM system, which was developed over a 10 month period. The client is a major wholesale tyre distributor AgriGear specialising in agricultural and heavy industry tyres. The company runs a unique manufacturing division, making specialist wheel and axel assemblies to unique industry requirements as well.
CRM project encompassed all aspects of the company’s activity including very complex sales order processing, manufacturing, in-house distribution, third party distribution, purchasing, credit control, claims processing and advanced route planning facilities.
CRM system has constant two-way communication with the company’s advanced accounting system. This was accomplished by Terrasoft development of various Import Utilities for data import into CRM system and development of XML export using the new European BASDA standards for third party system integration.
Terrasoft development team programmed highly complex CRM functionality, particularly in the sales order processing environment. This allowed to handle over 900 customer accounts in three countries with different tax rates, and five different price types. The system manages non-account customers in these counties as well.
Specially developed sales ordering environment includes automatic display of the price type per product per account, product selection by code fast filtering and all available price types. The system provides three levels of stock availability information for sales managers and real time display of percentage profit when they manually override a default price.
CRM system has full functionality to cope with partial orders, multiple delivery destinations and long term part draw down orders. One of the goals achieved by CRM system is to control sales orders having such variables as credit control issues, purchasing issues, manufacturing issues, fitting, picking, automated loading and delivery route decision making and multiple delivery mode organisation.
Terrasoft team programmers developed an intelligent document creation sequence on each sale. The entire previous history of the sale dictated the correct invoice data to be exported to the external accounting system and also provide an automated numbering system for easy tracking of these complex processes.
CRM system also includes the functionality of automatic creation of multiple documents and invoices. Due to this and its easiness of use users manage very high levels of complex sales orders per day in a very dynamic telesales environment.
Standard product inventory of the company consists of over 5,500 products with 5 different price types each of which had to be associated with its customer type, tax band and delivery method organised by geographical locations. Also CRM system manages new stock import, that implies up to 8 container loads of incoming stock per day. The system monitors the inventory and all items included in a sales order but not yet delivered by looking at every sales order by a total of 18 different sale statuses.
Because of the client’s manufacturing division, CRM had to be able to create price and export data to multiple locations on one-off custom built assemblies and transfer this data to the correct documentation. These specialised orders are also needed to be combined with orders containing standard products.
Terrasoft CRM process manager was utilised to create set procedures for moving data around the organisation to deal with regular claims for manufacturer’s product failure.
Fail safes were developed to monitor credit control issues which prevented dispatch of orders until these issues had been resolved. At the same time this does not hinder the sales person from processing the order This functionality is especially important for monitoring long term draw of orders for large amounts of products over a period where credit control situations could change.
Finally, a rich set of reporting functions were developed to give management instant access to global information on the entire organisation activities in real time.
Overall it was an extremely challenging project. Team effort and Terrasoft and Prime Future collaboration resulted in ground breaking development of CRM capability with the end product being far in excess of the originally planned goals.
